Museum Front-Of-House/Media & PR Executive

This role involves managing the day-to-day tasks of the museum and its boutique shop as well as offering select postal services including to provide a first point of contact for visitors and customers, manage the Museum's Social media presence and support its public outreach program, open and close the Museum/ invigilate the museum spaces, assist with the temporary exhibitions and conduct guided tours.

Museum

• Regular inventory and condition report.
• Assist the curator in managing the museum and its temporary exhibitions/ events.
• Ensure that all display cases / lights are in good working order.
• Management of the inventory of both museum merchandise and philatelic stock.
• Scheduling of tours and visits.
• Handling guided tours. Briefing visitors on key health and safety measures.
• Answering questions and handling museum related enquiries.
• Supervision of school groups on outings.
• Compilation and updating of the calendar of events.
• Being present when an event takes place outside the standard museum hours.
• Assist curator with logistics including the setting up/taking down exhibitions, also with audio visual equipment and the setting up of furniture for lectures, etc
• Handle the software programmes used to project documentaries/film or any other visuals onto the screen in the main gallery.
• Photographing events (when able) to keep as records in the museum archives.
• Handle the setting up of specialist workshops such as decoupage during Christmas and Easter.
• Co-ordinate museum rentals - i.e. issue receipts, obtain client details, get uotes/agreements signed, etc.

Postal Counter

• Provision of basic postal services at the counter including the sale of museum tickets. Knowledge of basic procedures relating to postal and philatelic enquiries.
• Handle money - transactions and deposits.
• Keep up-to-date with new issues with regard to timely orders and sales.
• Responsibility for the arranging and re-stocking of the museum boutique as well as the carrying out of regular stock takes.
• Ensuring the regular collection of mail on a daily (weekday) basis and the depositing of mail (on Saturdays).
General Administration
• Compiling, updating and managing databases, answering emails and taking calls.
• Preparation of letters promoting the MPM and its services
• Liaising with Finance Dept for payments related to museum rental / events held at the MPM, for the creation of new clients (when applicable) and invoices.
• Follow up with Finance Dept in instances where rental fees are settled by LPOs.
• Keep detailed records of museum rentals, mail and stock movement as well as copies of children's activities.
• Coordinate staff leave plans.
• Compilation of monthly visitor and sales records.
• Forward and discuss any complaints / improvements with the curator to improve our service.
• Updating of visitor log related to planned group visits and events taking place at the MPM
• Provision of leaflets to tourist information office in Valletta with museum leaflets.
• Overseeing cleaning schedule and organising cleaning supplies.
• Be available to deactivate alarms (both burglar and fire) should they trip outside working hours.

IT & Social Media, PR and Marketing

• Be familiar with the software to update the museum website
• Managing and updating the museum's social media platforms.
• Basic knowledge of photo editing programmes.
• Possess ECDL certificate or demonstrate proficiency in Microsoft Office.
• Upkeep of museum's Google and TripAdvisor listings.
• Manage the museum mailing list.
• Liaise with traditional media when an event/exhibition is planned to be held at the museum.
• Be able to converse and write well in English and Maltese. An additional language would be an asset.
• To spot and target opportunities for museum PR through print or media with the intention of raising the profile of the museum.
